Position Overview

The Accounts Payable Specialist supports the accounting team by processing vendor invoices, maintaining accurate accounts payable records, and ensuring vendors are paid accurately and on time. This is an excellent opportunity for an organized, detail-oriented individual who enjoys working in a fast-paced, process-driven environment. Previous Accounts Payable experience in a manufacturing environment is strongly preferred, but not required. Experience with purchasing, receiving, inventory, or other accounting-related processes is also helpful.

Responsibilities

• Review, verify, code, and process vendor invoices for accuracy, completeness, appropriate approvals, and applicable sales/use tax.
• Process vendor payments accurately and timely through checks, ACH, wire transfers, and other approved payment methods.
• Work with Purchasing, Receiving, and other departments to research and resolve invoice discrepancies, pricing differences, receiving issues, and payment variances.
• Assist with monthly vendor account reconciliations, aging reports, and goods-received-not-invoiced (GRNI) reports.
• Prepare weekly cash requirements and payment documentation for management review.
• Create and maintain accurate vendor records and obtain required W-9 documentation.
• Maintain current vendor sales tax exemption certificates.
• Process and reconcile P-Card transactions, ensuring expenses are properly documented and recorded.
• Assist with the year-end 1099 process, including reviewing vendor information and supporting the timely preparation and filing of required forms.
• Maintain organized and accurate AP documentation and records.
• Support continuous improvement efforts designed to streamline Accounts Payable processes and improve efficiency.
• Perform other accounting and administrative duties as assigned.

Requirements

• High school diploma required.
• Post-high-school training, coursework, or technical education in accounting, business, office administration, or a related field is strongly preferred.
• Previous Accounts Payable processing in a manufacturing environment strongly preferred.
• Entry-level candidates with relevant education, training, internship, administrative, or bookkeeping experience are encouraged to apply.
• Basic understanding of invoice processing, account coding, and general accounting principles.
• Familiarity with accounting software, ERP systems, or automated Accounts Payable systems is a plus.
• Strong attention to detail and commitment to accuracy.
• Ability to work independently while managing multiple priorities and meeting deadlines.
• Strong organizational and problem-solving skills.
• Ability to maintain confidentiality when handling financial and vendor information.
• Positive attitude, dependable work ethic, and willingness to learn.
